Our Services for Meeting Planners

Unlike any other Australian Convention Bureau, MCVB tailors its services to assist in every aspect of bidding, planning advice and support. MCVB's expertise includes strategic planning, leadership, project management, lobbying and unique bidding and presentation skills.

To further the appeal and reach of Melbourne and regional Victoria, MCVB builds strong relationships with a range of partners. These include Government bodies (such as Tourism Victoria and the City of Melbourne), strategic industry partners (including the Melbourne Convention and Exhibition Centre), industry stakeholders (such as Professional Conference Organisers) and our members who are leading Business Events suppliers. For Event Planners, this means that, with MCVB's free assistance, holding a Business Event in Melbourne is seamless, integrated and hassle-free.

MCVB provides local and international hosts with a high level of knowledge and expertise in planning and compiling bid documents and support packages, including:

  • Identifying and addressing bid criteria
  • Co-ordination and preparation of bid documents
  • Obtaining letters of support from leaders of Government and industry
  • Preparing preliminary budgets with a Professional Conference Organiser (PCO)
  • Liaising between local government and industry bodies
  • Locating suitable venues within Melbourne or regional Victoria that meet specified criteria
  • Selecting accommodation for various meeting requirements
  • Providing site inspection support
  • Developing lobbying strategies
  • Bid promotions including distribution of promotional material and media assistance
  • Preparation of bid presentations
  • Conference delegate boosting support to drive delegate numbers.

Event Servicing

MCVB offers extensive pre- and post-bid support services including delegate boosting, representation at industry trade shows, PR and media support and Government support and liaison.

MCVB works closely with our Conference Organising Partners, Professional Conference Organisers and with clients directly to:

  • Increase delegate numbers
  • Provide pre- and post-touring options in Melbourne and regional Victoria
  • Provide on-site information booths at events
  • Provide access to MCVB's promotional materials
  • Provide on-site support (such as securing key note speakers).

Our goal is to maximise delegate attendance at Business Events held in Melbourne and Victoria to benefit our clients, members, business and leisure tourism industries and the Victorian State economy.

Our Events Servicing Team draws upon the products, services and expertise of MCVB's extensive member network of more than 260 leading Business Events suppliers to assist Event Organisers source:

  • Convention and meeting products and services
  • Accommodation
  • Audio visual equipment
  • Corporate gifts
  • Venues
  • Touring and transport
  • Catering.

This superior level of client service is in line with the BestCities Global Alliance service charter. MCVB is the only Convention and Visitors Bureau in Australia whose service standards meet the BestCities service charter.

City Wide Support Package

MCVB developed the City Wide Support Package (CWSP) with a variety of partners - including the Melbourne Convention and Exhibition Centre, the City of Melbourne, Destination Melbourne and Tourism Victoria - to assist in attracting Business Events, as well as delegates, to Melbourne.

Under the CWSP, funds are allocated to support congress planning, marketing, on-site support and a pre-Convention site inspection to Melbourne for association decision makers considering Melbourne as a Business Event destination. Once an event is secured, the CWSP is used primarily for delegate boosting purposes.

Quality Assured Service

MCVB is a member of BestCities Global Alliance, a Convention Bureaux network dedicated to the delivery of the world's best service for the meetings industry.

Australia's only BestCities member, MCVB undergoes an annual independent audit of 36 service standards. Undertaken by Lloyds, this process ensures that all staff are educated on and are compliant with internationally accredited Quality Assurance Service Standards.

As part of the BestCities Service Standards, MCVB's post-bid and post-event services are evaluated, with 2007/08 survey findings indicating that MCVB has achieved an above average satisfaction rate from clients of 95%.
